Follow ups and lead nurturing guide

RentEngine moves prospects forward using statuses plus auto-follow-ups. Keep statuses accurate and the system will handle most nudging for you.


How follow-ups are triggered

  • Automatic: RentEngine changes status after key actions (e.g., prescreen submitted/approved, showing scheduled/completed).
  • Manual: Your team can change status in Command Center → open conversation → ACTION (e.g., mark “Still Deciding,” “Not Interested,” etc.).

You can edit the actual message content under Settings → Communication → Messages.


What RentEngine sends

  • New → Contacted: We send the first touch with a scheduling link, then the status becomes Contacted.
  • Contacted / Showing Desired / Prescreen Approved (not booked): We send periodic nudges to book a time. If there’s no reply for a while, we gracefully exit to Not Interested.
  • Showing Failed / Canceled / Missed: We send a reschedule prompt and steer them back to Showing Desired.
  • Showing Complete → Still Deciding: We send light check-ins. If quiet after multiple touches, we exit to Not Interested.
  • Application Sent: We check in on the application; after several nudges without activity we stop.


Statuses that don’t run nurturing

Certain states suppress follow-ups (we may still send transactional confirmations). Examples include Not Interested, Withdrawn, Prescreen Rejected, Application Received/Approved/Rejected, Lease Signed, Moved In, Showing Scheduled (reminders only).

Where to view/change status

  • Open the prospect in Command Center.
  • The light-blue event cards show what happened (and when).
  • Click ACTION to Change status, Assign to user, Schedule/Cancel, etc.
