Is RentEngine emailing prospects? How are prospects emailing me?
When a prospect inquires about one of your listings, RentEngine reaches out via both email and SMS to maximize the chances of making contact. Here’s how it works:
SMS is King
A large majority of prospects respond more quickly (and more reliably) to text messages.
But Email Extends Coverage
Not everyone wants or can receive SMS (e.g. international numbers, carriers with strict filters, etc.). Including email ensures we don’t miss anyone.
Email From:
Leasing Team @ Your Company Name ‹leasing@rentengine.io›
– This initial email invites them to schedule a tour and nudges them toward SMS for fastest replies.
SMS From:
Your dedicated leasing number
– This initial SMS invites them to schedule a tour or to ask any questions.
In both channels, the message links them to your online listing & scheduler.
Email Replies – In the email we send, the Reply-To addresses are set as the email addresses of your team:
> If the unit is assigned to a subteam, then the emails are routed to the member's of that subteam
> If no subteam is defined, replies default to the entire leasing team so no inquiry falls through the cracks.
SMS Replies – Any SMS reply comes back into your Command Center
Q: Why don’t replies go back to leasing@rentengine.io?
A: We use dynamic Reply-To headers to ensure each inquiry reaches the exact team handling that property—improving response times and accountability. If they sent back to leasing@rentengine.io, they would get lost in the ether.
Q: Can I opt-out and stop receiving these?
A: Yes. If you open your Notification Settings, under Settings > Communications > Notifications, you can uncheck New Prospect Replies to stop your email address from being included.
Q: What if a prospect replies to the SMS instead of email?
A: SMS replies feed directly to the Command Center.
