How does the PMS sync work?

RentEngine can pull your active listings straight from your Property Management System (PMS) so price & availability stay in sync—no double entry.

  • AppFolio
  • Buildium
  • Rentvine
  • Propertyware (and Propertyware API)
  • RentManager (via the Rent Manager Marketplace integration — all RentManager clients are eligible)

Connect & start syncing

  1. Go to Settings → Company
  2. Select your PMS and enter credentials/URL/IDs.
  3. Turn on Sync All Published Units & Prices From <PMS>.

What qualifies a unit?

  • In your PMS it must be Active and Published to Website (wording varies).
  • Do not post the same unit to other ILSs from the PMS (Zillow, etc.). Keep RentEngine as the single feed to avoid duplicates/blocks.


When listings first land in RentEngine

Newly imported units appear in Properties with a red “INCOMPLETE” chip.

  • Click Take action → Edit property, then complete the 5-step property flow (showing method, earliest showing date, photos, etc.).
  • After you finish, the property becomes Active in RentEngine and can syndicate to all major listing sites.


What gets synced & optional toggles

By default, the “All Published Units & Prices” toggle brings in availability and rent.

You can also enable (when available for your PMS):

  • Sync Marketing Content (description, photos)
  • Include Amenities When Syncing Marketing Content

These options keep your RentEngine marketing details updated automatically from the PMS.

The integration is not a two-way sync. RentEngine reads data from your PMS but doesn’t push changes back. If the sync toggles are on (e.g., Sync All Published Units & Prices, Sync Marketing Content, Include Amenities), edits in the PMS will automatically update RentEngine; edits in RentEngine won’t change the PMS.


Update timings

  • Changes made in your PMS reflect in RentEngine within ~5 minutes.
  • ILSs (Zillow, Apartments.com, etc.) have their own refresh cycles—allow extra time for them to update.


Taking a unit off-market / leased

When a unit is leased, simply take it off-market in your PMS.

  • RentEngine will update the property within minutes and mark it LEASED / withdrawn from active marketing.


Note: If you publish, then later re-post because you think it didn’t arrive, the PMS may send it again as ARCHIVED (because it was already activated earlier). You don’t need to re-post; just take it off-market in the PMS when it’s leased and RentEngine will follow.
