How RentEngine’s Voice AI Works

RentEngine’s Voice AI answers your leasing calls, helps prospects get the right information fast, and logs everything in your Command Center.


What happens when someone calls your RentEngine leasing number

  • The caller is connected to your Voice AI agent.
  • The agent asks which property they’re interested in and follows up with relevant questions.
  • Based on the conversation, the agent can register the prospect in the Command Center, capture contact details, share next steps, and send follow-up information by text when appropriate.


If the AI can’t answer

Sometimes the caller’s question falls outside the information available. In that case, the AI will flag the conversation so your team can follow up.

Make sure you have notifications enabled (Settings → Communication → Notifications) so you’re alerted when the AI couldn’t complete an answer.




What the AI uses to answer accurately

Voice AI responds using:

  • Your settings and policies (e.g., showing rules, qualification criteria).
  • Your current listings (availability, pricing, property details).
  • Your Snippets (saved answers) at Settings → Communication → Snippets.

Keeping these up to date improves both accuracy and speed.


How to turn it on and configure it

  1. Tell the RentEngine team you want Voice AI enabled. We’ll activate it for your account.
  2. Once active, go to Settings → Communication → AI → Voice AI to tailor it:
    • Choose the tone and voice of your agent (you can even record your own voice).
    • Add custom instructions to reflect your brand, policies, and local nuances.


Recommendation: enable SMS AI as well. SMS AI works alongside Voice AI to send confirmations, directions, and follow-ups.


Call recordings and transcripts

Every Voice AI call is saved to the prospect’s timeline in your Command Center, including:

  • The audio recording
  • The full transcript
  • The key details captured (property of interest, contact info, intent)

This makes it easy to review, coach, and follow up.


Which prospects Voice AI will answer (and when it won’t)

Voice AI is designed for the lead and showing stages of your funnel. It will answer calls from prospects who are in one of these typical states:

  • New / First contact
  • Contacted / In conversation
  • Interested in scheduling a showing
  • Missed a showing and needs help rescheduling
  • Withdrew interest
  • Not interested
  • Stopped responding
  • Unit of interest is unavailable and they need alternatives

After a prospect receives the application (post-showing), Voice AI does not handle those calls. At that point, to keep the experience high-touch and avoid confusion, calls are routed to your property management team for direct assistance on application, screening, and approval questions.
