How to set up your RentEngine account

Audience: Anyone setting up the account for the first time (Managers, Admins, Leasing Coordinators)


Welcome to your guided RentEngine training!

This guide will walk you through a series of interactive, in-app tours so you can get familiar with RentEngine’s features — directly inside your own account.

📌 Before you begin: You should have received an invitation to create your RentEngine account from your company’s main account.This is important to ensure you’re logging into the correct company workspace.


If you haven’t received one, please reach out to your supervisor or account admin so they can send the invitation from your company’s main RentEngine account.

Once invited, you can log in at www.app.rentengine.io using your email.


💡 Recommendation: Complete these tours on a desktop or laptop for the best experience — it’s much easier to follow along and explore every feature.

1. Start with the Basics — Your Portfolio & Company Settings

  • Think of this as laying the foundation. This is where you define global rules—rental requirements, branding, report timing, and even image watermarks. Get these locked in, and you can tailor postings with confidence.

2. Showtime — Set Up Your Showing Rules

This step is essential for agents conducting accompanied showings. Here’s what to do:

  • Accompanied Showings

    • Admins and users with Owner access: You won’t need to configure your own availability, but you should monitor which agents have set their hours. This ensures your team is fully visible and ready for showings.

3. Prescreening & Fraud Protection — Keep Leads Qualified

  • Before a showing is scheduled, you can automatically filter out prospects who don’t meet your criteria—and even deter scammers. This step ensures your team spends time only on serious, qualified leads.

4. Alert Management — Because Inbox Overload Is Real

  • This space lets you choose your alerts—just the ones that matter to your role.

5. Manage Your Team

Inside the Team Members section, you can:

  • Add new team members and assign either Owner access (full admin control) or Member access.
  • Remove team members no longer active.
  • Create Subteams if you operate in pods, regional groups, or portfolios—this helps you assign listings and notifications more precisely and organize your leasing structure more efficiently.
