Managing Subteams and User Assignments in RentEngine
Subteams help you split your portfolio and workload by groups (e.g., regions, owners, asset types, or offices). They keep notifications, ownership, and filters tidy—so the right people see the right leads at the right time.
Why use Subteams?
Common use cases
- Portfolio splits: East vs. West, Single-family vs. Multifamily, Owner A vs. Owner B.
- Local coverage: Group agents by city/zone to reduce drive time.
- Operational clarity: Each subteam manages “its” properties and related prospects.
Benefits
- Focused notifications: Only the subteam for a property gets the calls/texts for that property.
- Cleaner views: Command Center and Showings Calendar default to what’s relevant to you.
- Accountability: You can view performance data by subteam for better accountability
Set up Subteams
- Go to Settings → Team (Owners).
- Create or edit subteams and add members.
- Assign properties to subteams:When activating a new unit → choose the subteam at the top of the page next to the Showing Method (Step 2).For existing units → Properties → Take Action → Edit Property, then pick the subteam.
What are User Assignments?
User Assignments let you assign a specific prospect to a particular team member (or members). This is most useful for larger teams who want to divide incoming leads among leasing agents.
- If a prospect is assigned to a user → only that user gets call/text notifications.
- If no assignment → everyone on the property’s subteam gets notifications.
How to assign a prospect:
- In Command Center, open the prospect.
- Click Action → Assign to User → Submit.
