Mark a previous showing as missed or canceled

Use this when a showing already happened (or should have happened) and you need the record and automations to match what really occurred.

Prospect status vs events (how they work together)

You’ll see statuses and events either at the top of the prospect card in Command Center (above their name) or in the conversation, shown as light blue boxes (like “Showing Canceled” in the screenshot below).

  • Status = the current stage label (e.g., Contacted, Showing Desired, Application Submitted). Only one at a time.
  • Events = the record of what actually happened (e.g., Showing Missed, Application Approved). There can be many.

If a “Showing Complete” was logged by mistake

Sometimes a showing gets marked Complete when it was actually Missed, Canceled, or Failed. Fix it like this:

  • Open the Command Center and go to the prospect.
  • In the activity timeline, find the Showing Complete event for that property.
  • Open the menu on that event and Delete it.
  • Now update the showing to the correct outcome (see next section).

Why: deleting the wrong completion event prevents automations (like auto-sending an application) from running when the showing never happened.

Update a past showing to Missed, Canceled, or Failed

Pick the outcome that matches what happened:

  • Missed Showing – prospect didn’t arrive.
  • Showing Canceled – the appointment was canceled.
  • Showing Failed – prospect arrived but couldn’t access (lockbox/code/entry issue).

How to update it:

  • From the prospect in Command Center, locate the showing event.
  • Click the arrow/menu next to the showing action and choose the correct outcome:
    • Missed Showing
    • Showing Canceled
    • Showing Failed
  • Add a quick note so your team has context.
  • If you already have a new time, you can reschedule in the same flow.
