Quick Start Training for Showing Agents
Welcome to RentEngine!
We've created a guided training specifically for showing agents. It will help you get familiar with relevant parts of RentEngine including:
- Personal Availability
- Properties
- Command Center (lead communication & CRM)
- Showings and the Showings Calendar
The Quick Start training video is about 13 minutes and includes subtitles to help you follow along.

Agent Showing Setup Checklist
- Set Up Your Showing Availability
- [ ] Go to Settings > Showings > Personal
- [ ] Configure your Showing Windows (Dark blue = available, Light blue = unavailable)
- [ ] Click Save Showing Windows
- [ ] (Optional) Connect your Google or Outlook calendar to block off unavailable times automatically
- [ ] Only one calendar can be synced
- Adjust Appointment Buffers
- [ ] Set Appointment Buffer (minutes) to account for drive time between showings
- [ ] This applies extra buffer around non-showing events too
- Verify You're Assigned to Showings
- Go to Properties > Find the Property
- Hover over the icon in Showing Method to confirm you're listed
- If not assigned:
- [ ] Go to Take Action > Edit Property
- [ ] Step 2: Set showing method to Accompanied
- [ ] Ensure your name is selected under “Who will be showing this unit?”
- [ ] Check “Smart Assign” box if multiple agents are listed
- Add Communication and Meeting Instructions
- In the PM Phone Number, add your direct number if you want prospects to contact you on-site
- In Meeting Location, add any instructions (e.g., "meet at front gate")
- If occupied, optionally add tenant name & number (only visible to your team)
- Click Show More at the bottom:
- [ ] Enable PM Approval for Showings if you want to manually approve each one
- [ ] Use Override Showing Windows to give specific time slots for just this unit
- Configure Your Notifications
- [ ] Go to Settings > Communication > Notifications
- [ ] Turn on all relevant notifications:
- [ ] Showings (must-have)
- [ ] Prescreening and/or Communication depending on your role
- Block Specific Times (if needed)
- [ ] If your Google or Outlook calendar is connected to your Rentengine account, you can mark busy time slots there so that those won't be used as available times for showings.
- [ ] Another option is to block specific times in RentEngine, for doing that, Go to Showings Calendar > Blocked Times
- [ ] Block specific time slots you’re unavailable for individual units
- [ ] If unavailable long-term, mark that unit On Hold from Properties > Take Action
- Use the Showings Calendar
- [ ] Go to the Showings Calendar
- [ ] Review upcoming, missed, canceled, or past showings
- [ ] Use the menu to cancel, reschedule, reassign, or contact prospects
9. Use the Command Center:
- [ ] Use the command center to interact with your prospects. This is the communication hub where all the messages from prospects will live.
- [ ] It is also the place where you can mark the showing complete.
- [ ] When you have a showing, it is a good practice to mark it as Showing Started and Showing Complete so that you can receive feedback from prospects and add it to the feedback form in the command center. Learn more about it here: How to run an accompanied showing
10. Download & Use the Mobile App
- [ ] Install from here: RentEngine App
- [ ] Enable notifications on your phone
- [ ] Use the app to:
- [ ] Confirm or reschedule showings
- [ ] Call or text prospects using the RentEngine-assigned number
- [ ] Avoid using your personal number for communication
