Using Notes & Follow-Ups in the Command Center

The Notes & Follow-ups system gives you convenient way to log notes, track manual outreach, and set reminders - all inside the Command Center. This article walk us through the key features and how to use them.


Where to Find Notes & Follow-Ups


You can access Notes & Follow-ups from any prospect profile.


  1. Navigate to the Command Center
  2. Select a prospect
  3. Look for the Notes & Follow-ups panel on the right


From here, you can add new notes, log manual follow-ups, assign items to properties, tag teammates, view archives, and set reminders.


Adding Notes


Notes allow you to capture context about a prospect such as conversations, preferences, showing feedback or anything that helps the team stay aligned.


  1. Click “Manage” in the Notes & Follow-ups panel
  2. Select “Add Note”
  3. Type your note
  4. Assign it to a property (optional)
  5. Click Save




Pinned Notes


The first note added to a prospect is automatically pinned. Pinned notes stay at the top for quick visibility. You can change the pinned note that displays by pressing the pin icon.


Automatic Notes from Listing Sites


RentEngine will automatically create a note when a new prospect is created. This note will include details they provided on Zillow, Realtor.com, or any listing website they inquired from.


Logging Manual Follow-Ups


Manual follow-ups help you track outreach (calls, personal texts, emails) outside RentEngine’s automated messaging.


  1. Click “Add Follow-Up”
  2. Enter the follow-up details (e.g., “Called prospect, left voicemail”)
  3. Assign it to a property (optional)
  4. Select the channel used: (Text message, Phone call, Email, Other)


(Optional) Set a Reminder


  1. Choose a date and time
  2. RentEngine will notify you when it’s time to follow up again




Tagging Team Members


You can tag other team members in notes or follow-ups when collaboration is required.


  1. Inside a note or follow-up, type “@”
  2. Select a team member
  3. They will receive an email notification alerting them that they’ve been tagged
