Add a Trusted Contact for on-demand lockbox access

Overview

Trusted Contacts let you give secure, on-demand lockbox access to vendors and third-party contacts without sharing permanent codes.

This is useful for maintenance, inspections, cleaners, and other approved visitors.


What trusted contacts can do

Trusted Contacts can:

  • Generate a one-time lockbox code via text message when they arrive at a property

  • Access only the lockbox they request

  • Generate codes without logging into RentEngine

Every code request is logged for visibility.


Add a Trusted Contact

  1. Go to the Lockboxes tab

  2. Click Add Lockbox > Trusted Contacts in the top right

  3. Click Add contact

  4. Enter the contact’s name and phone number

  5. Save the contact

Once saved, the contact receives a text message confirming they've been added:

"{Company_Name} added you as a Trusted Contact. To generate lockbox codes on-demand, please text the serial number to this phone number. For a SentriLock shackle code, add a "-s" at the end."


The contact is now enrolled and ready to generate codes.

Note: Only users with Admin privileges can add Trusted Contacts.


How Trusted Contacts generate a code

When the enrolled Trusted Contact arrives at a property:

  1. They text the lockbox serial number to
    (920) 274-0111

  2. The system replies immediately with a personal one-time code

  3. The code works only for that lockbox

No app or login is required.

Note: The Trusted Contact must use the phone number they were registered with.


Access logs and tracking

Every Trusted Contact code request is automatically recorded.

You can view:

  • Who generated the code

  • Which lockbox was accessed

  • When the code was generated

All access history appears in the Access Logs for the lockbox in the Lockboxes tab.


Best practices

  • If your vendor uses different technicians, add register them with an office phone number that can send/receive text messages, so that the technician can call his office and get the code

  • Remove contacts that no longer need access

  • Use Trusted Contacts instead of sharing permanent codes

  • Review access logs periodically


Need to remove a trusted contact?

If a vendor no longer needs access:

  1. Open Trusted Contacts

  2. Find the contact

  3. Delete them

They will no longer be able to generate codes.
