Enable tenant cancellation for showings

Overview

Allow current tenants to cancel scheduled showings. When a tenant cancels, the assigned agent is notified, the prospect is invited to reschedule, and the cancellation is logged in RentEngine.

Note: This option is only available for accompanied showings on units with a current tenant.


Enable tenant cancellation

  1. Go to the Properties tab and find the property

  2. Click Take action > Edit property

  3. Navigate to the Showings tab

  4. Under Showing Details, enter the tenant's phone number in Tenant Phone 1

  5. Check the Tenant can cancel box

  6. Click Save

To disable it, uncheck Tenant can cancel and save.


How it works

The current tenant gets a text when the showing is scheduled, which includes a secure cancellation link. If they need to cancel, they tap the link and must provide a reason before the cancellation is confirmed.

After a tenant cancels:

  • Command Center shows: Canceled by current tenant: [reason]

  • The assigned agent receives an email with the cancellation reason

  • The prospect receives a text message inviting them to reschedule — you can customize this message in Settings > Communication > Customize Messages

  • The cancellation is logged under its own source in the Showings Report
