How to Manage Your RentEngine Notifications

If you’re receiving too many email alerts from RentEngine — or missing the ones that matter — it’s time to check your Notification Settings.


Where to Find It

To update your preferences, go to:

Settings > Communication > Notifications

This section allows you to:

  • Forward incoming calls to your personal phone number
  • Choose which types of emails you want (or don’t want) to receive


Notification Settings Overview

There are two main parts on this screen:


1. 📞 Phone Call Forwarding

At the very top, you’ll see the Phone Call Forwarding section.

This has nothing to do with email notifications — it controls where incoming calls go.


You can enter your phone number (and extension if needed) to have calls forwarded from RentEngine directly to your mobile or office line.

Use this if:

  • You want to pick up showing calls on your personal phone or another external number
  • You prefer not to take calls through the RentEngine web/mobile interface

2. ✉️ Email Notifications (Personal Settings)

Everything below Phone Call Forwarding controls which email notifications you receive. These are personal to your account — unchecking a box will stop those emails from being sent to you only.

You can update these anytime without affecting what teammates receive.


Notification Groups and When They Matter

Here’s a breakdown of the different types of notifications available, grouped by category. We’ve included tips on which roles should pay attention to each type.


🏢 PMS Sync

  • New Properties Ready to Activate
  • Reminder to Activate New Properties
  • Updates to Active Properties Detected

Recommended for:

  • Property Managers or Admins using a Property Management System (PMS) sync
  • Helps ensure new units are activated and kept in sync


🛂 Prescreening

  • VoIP Phone Number Rejected
  • ID Verification Rejected
  • Self-Reported Income and/or Credit Rejected
  • Custom Question Response Rejected

Recommended for:

  • Leasing agents or support teams reviewing lead quality
  • Stay informed when a lead fails automated screening checks


🏠 Showings

  • Accompanied Showing Scheduled
  • Accompanied Showing with Agent Scheduled
  • Self-guided Showing Scheduled
  • Remote-guided Showing Scheduled
  • Remote-guided Showing with Gate Scheduled
  • Showing Canceled
  • Showing Reassigned To Me
  • Showing Reassigned To Teammate
  • Showing Failed Alert
  • Lockbox Failure Alert
  • Showing Feedback Received

Recommended for:

  • Leasing agents and schedulers
  • “Reassigned to Me” and “Feedback Received” are key for staying informed about activity that affects you as a showing agent.


📞 Communication

  • AI Unable To Respond to Text Message
  • Callback Requested via Voice AI
  • Reply Received from Undelivered SMS Email
  • Reply Received from New Prospect via Email
  • New Voice Mail Received

Recommended for:

  • Anyone monitoring inbound communication
  • Especially relevant if you use Voice AI — these alerts tell you when a callback or voicemail has been triggered


📊 Reporting

  • PM Leasing Pipeline Updates
  • Owner Leasing Pipeline Updates

Recommended for:

  • Property owners and PMs
  • Keep track of leasing pipeline changes across your portfolio


📝 RentEngine Applications

  • New Application Received
  • Reference Check Received

Recommended for:

  • Application reviewers or leasing team members
  • Get notified when new applications or reference checks are completed


⚠️ Other Alerts

  • PM Escalations & Questions
  • Lockbox Not Assigned Alert

Recommended for:

  • Support or Operations teams
  • These alerts are critical for troubleshooting and avoiding showing failures


✅ Suggested Default Setup (by Role)

If you’re unsure where to start, here are quick defaults:

For Leasing Agents:

  • ✅ Showing Reassigned To Me
  • ✅ Showing Feedback Received
  • ✅ Callback Requested via Voice AI
  • ✅ New Voice Mail Received
  • (Optional) ✅ New Application Received

For Property Managers:

  • ✅ PMS Sync Alerts
  • ✅ Owner Leasing Pipeline Updates
  • ✅ PM Escalations & Questions
  • ✅ Lockbox Not Assigned Alert

For Admins or Integrations:

  • ✅ All Prescreening

💡 Final Tip

These settings are personal — they only affect what you get in your inbox. You can fine-tune over time to focus only on what matters most to your workflow.
