How to set up self-tours at a multifamily community

Overview

RentEngine has a dedicated workflow for self-tours at multifamily communities.

Prospects get access instructions for the building, smoothly tour their scheduled unit, view the amenities and instantly see other available units in the same community - without rebooking.

This article explains how the prospect-facing flow works and what your team needs to configure.


Before you begin

  • The property must be set up as a multifamily community in RentEngine, with the relevant information in the Self-guided tour section (parking directions, building access instructions, amenities)

  • At least one unit in the community must be Available with 'self-guided showing' as the Showing Method


What prospects see

Arrival text

Prospects receive a text message 30 minutes before their scheduled arrival. The message includes parking instructions and a link to the building access page.

Tour welcome

When the prospect opens the link, they see a welcome screen with the community name, a welcome message, their scheduled showing card, building photos, and a list of amenities.

They must check a fraud-safety acknowledgment before tapping Get started.

Building access

The Access instructions page shows the building entrance photo, building access code, and step-by-step directions for getting inside.

The prospect taps "I'm in" when they have entered the building.

Note: the more details you add when setting up the Multifamily Community, the better the prospect's experience will be

Unit tour, Feedback and lock-up

Once in the building, they see three sub-tabs:

  • Access — unit access code and directions.

  • Details — unit photos, layout details, and description

  • Next steps — After finishing the tour, the prospect selects Apply, Still Deciding, or Not Interested and fills out the feedback form.

Tapping Submit and lock-up completes the tour.


Touring another unit instantly (cross-sell)

If the prospect wants to see another unit during the same visit, they can tap Start tour on any unit card in the post-tour confirmation card.

This instantly books the nearest available self-guided slot for that unit and routes the prospect directly into its tour. No scheduling steps or prescreening are required for the additional unit.

An instant tour is only available when:

  • The prospect is currently in an active self-guided tour

  • The second unit is in the same community

  • The second unit is Available and self-guided capable

  • The prospect does not already have an overlapping showing scheduled for that unit

If the second unit requires PM approval or an application before showing, the prospect is routed to the standard scheduling picker instead.

Note: The instant tour skips the ~30-minute back-to-back safeguard so prospects can tour multiple units in one visit.
