RentEngine pulls your listings from Rent Manager’s online listings feed. Which units appear as available depends on the Unit Filter Criteria you choose in Rent Manager. This article covers the initial setup and the two ways to control which units get listed.
Before you begin
Confirm that Rent Manager is connected to RentEngine. If it isn’t, follow How to connect Rent Manager with RentEngine first.
Set up Online Listings
Rent Manager should keep online listings enabled while preventing direct syndication to listing sites, so RentEngine remains your primary syndication source.
Go to Admin > Preferences > System Preferences > Online Listings > General.
Make sure Enable Online Listings is checked.
Make sure the following provider options are unchecked:
Zillow, Trulia, Hotpads
Apartments.com
Click Save.
If Rent Manager sends listings directly to listing sites, you may see duplicate listings, conflicting feeds, or blocked RentEngine syndication on some platforms.
Choose how units are listed
Go to Admin > Preferences > System Preferences > Online Listings > Availability Filters. Under Unit Filter Criteria, you can choose one of two methods.
| Vacancy and Unit Status | User Defined Field (UDF) |
How it works | Rent Manager lists a unit automatically based on its vacancy and status | You manually mark each unit with a Yes/No field |
Best for | Most accounts | Units that need to be listed while the tenant record is still active, such as a broken lease where recurring charges can’t be stopped |
Maintenance | Automatic | Manual: you update the Yes/No value on each unit |
Option 1: Vacancy and Unit Status
Rent Manager adds a unit to the listing feed only when it is both vacant and active. Anything that removes that status marks the unit as leased or unavailable.
Under Unit Filter Criteria, select Vacancy and Unit Status.
Set Occupancy End Date to Notice.
Check Show units available within and enter the number of days. We recommend 45, but you can adjust it to your leasing workflow.
Click Save.
With this setup, units with an upcoming vacancy appear in your listings before they become physically vacant. This supports pre-leasing and reduces days on market.
How availability is determined
Future leased units: A unit is considered leased (Future status) as soon as a tenant record exists with a Lease Start date in the future, even if the unit is still physically vacant.
Exclude future leased units: When checked, Rent Manager removes future leased units from the listing feed. When unchecked, future leased units can still appear as available.
Unit level: Availability is evaluated at the unit level, not the tenant level. The unit’s status and availability dates drive what appears in the feed.
Option 2: User Defined Field (UDF)
Use this method when you can’t process a move-out without stopping recurring charges, but the unit needs to be listed anyway.
Create the UDF
Go to Admin > Setup > User Defined Fields.
Click Add.
Name the field something like List on RentEngine and set the Field Type to Yes/No.
Confirm the field is set at the Unit level, not the Property level.
Click Save.
Update your availability filter
Go to Online Listings > Availability Filters.
Under Unit Filter Criteria, select User Defined Field.
Select the UDF you just created from the dropdown.
Click Save.
Mark the units you want to list
Open the unit.
Go to the User Defined Fields tab.
Set List on RentEngine to Yes and save.
The unit now appears in your online listings feed and syncs to RentEngine, even though the tenant record is still active and recurring charges are running.
Important: Once you switch to the UDF method, vacancy status no longer controls what gets listed. You need to manage the Yes/No value on each unit manually, including setting it back to No once a new tenant moves in.
