Accompanied Showings and Smart Scheduling

This guide will show you how to set up Accompanied Showings and use the new Smart Scheduling features

Before you get started, make sure your Smart Scheduling is enabled and your showing agents have set up their showing windows and calendar.

Activating a new vacancy & agent assignment

  1. During unit activation, on the second page you'll get to choose the showing type. Select Accompanied Showing
  2. Choose the team member(s) who will be showing the property from the dropdown
    1. If you select just one showing agent, prospects will only be able to schedule at times that work for that agent (based on showing windows, connected calendar, and drive time)
    2. If you select multiple showing agents, you have the option to enable Smart Assign (recommended)
    3. Smart Assign will pick the best showing agent based on each agent's showing windows, connected calendar and drive time. If they are exactly the same, it will pick an agent at random
    4. If you select multiple showing agents and don't use Smart Assign, all showing agents will be assigned and notified of the showing (not recommended)


  3. Add the phone number that RentEngine will prompt prospects to call when they arrive. If you don't set this, it will default to your dedicated leasing number (Command Center)
  4. Add the meeting location (visible to the prospect when they arrive) and add any internal notes for your team (like lockbox code)
  5. If applicable, add the current tenant's contact info to notify them of scheduled showings. You can also adjust the amount of notice for scheduled showings.
  6. Click next to finish activating the vacancy
