The RentEngine Command Center includes a full-featured phone system, built specifically for leasing teams.
Making Calls
To call a prospect, just click the Call button at the top of the chat history. This will call them via your device, from your dedicated leasing phone number.

During the call, press the Transfer button at the top right in the call window

RentEngine uses the word "Prospect" to define a person interested in a single property
A prospect is automatically created when a person inquires for the first time about a specific property, either via an online listing site (e.g. Zillow) or via the RentEngine scheduling flow. If the prospect is already logged in RentEngine, they are not added again.

When a prospect is ready to apply, you can use the Send Application action to easily:

update their status to "Application Sent to Prospect"
Prospects can request the application at the end of their self-guided showings or you can set it as the next step on a guided showing. This automatically logs the leasing event, updates their status and sends them the application link

Now you can enable call forwarding to send incoming RentEngine calls to your personal or business phone.
You will receive inbound calls from prospects assigned to you, prospects associated with a subteam that you're on and unassigned prospects.
Inbound calls will ring all relevant users in the Command Center for 20 seconds. If after 20 seconds it's not answered, it will call the forwarding phone number for all associated users.

Within the Command Center, you can set personal reminders for prospects. These will notify you to contact the prospect, after a certain period of time.
Common use cases include reminders to manually follow up with prospects (e.g. after 1 day) and to close out an in-progress showing (e.g. after 10 minutes).

In the Command Center, hover over the prospect that you'd like to be reminded about. Then press the "stopwatch" icon

When you interact with a prospect (call or text) and their status changes, you should log a leasing event. This will update the prospect's status.
RentEngine will keep following up with a prospect if they have an active status (i.e. New, Contacted, Showing Desired, Missed Showing, Showing Canceled, Showing Failed, Still Deciding, Application Sent to Prospect)
To log a leasing event, open the prospect in the Command Center. Then press "Action" at the top.

Every prospect in RentEngine has a status that reflects where they are in the leasing journey.
Statuses are set in two ways:
Automatic — RentEngine updates the status based on the prospect’s actions (e.g., completes prescreen, schedules a showing).
Manual — Your team updates the status in Command Center to reflect a conversation outcome or operational decision.
These statuses can trigger automations (follow-ups, reminders, pause/resume messaging, next-step tasks).

The Command Center in RentEngine is designed to automatically collect lead information from your listings, your website (via the embedded widget), or third-party listing sites.
However, there are scenarios where you might receive lead contact details outside of RentEngine—such as direct referrals, contact forms, or offline inquiries. In those cases, you can still manually add prospects to your Command Center or use our new AI email parser to send the info in directly.
