Enable resident access in Igloo Works

Overview

When a tenant moves in to a property with an Igloo lock, you can give them access to manage their own lock through the Igloo Works app. This guide walks through adding the tenant as a user, assigning them to a lock, and what the tenant experience looks like once they're set up.


Before you begin


Step 1 — Add the tenant as a user

  1. From the Igloo Works dashboard, go to the Users tab on the left-hand side

  2. Click Add a user

  3. For user type, select Lock User

This means the tenant is registered to your Igloo Works account but can only access the specific lock they are assigned to. They will not be able to see or manage anything else within the account.

  1. Enter the tenant's name, email, and phone number

  2. Click to send the invitation

The tenant will receive an invitation to create their login credentials.


Step 2 — Assign the tenant to a lock

You can find the lock you want to assign in one of two ways:

  • Go to the Locks tab to see all locks listed

  • Go to the Properties tab, select the property, and view the locks assigned to it

Once you've located the correct lock:

  1. Click View Details on the lock

  2. Click Add Access

  3. Select Bluetooth Access (this allows the tenant to use the Igloo Works app)

  4. For permissions, select Residential User — this gives the tenant the ability to control their lock

  5. Select the tenant from the user list

  6. Set the start and end dates to match the expected duration of the tenant's access (typically the lease term)

Note: These dates can always be adjusted later.


What the tenant does next

Once the tenant has been invited and assigned:

  1. Download the Igloo Works app from the iOS App Store or Google Play Store

  2. Log in with the email and password they created when accepting the invitation

  3. After logging in, they will see the lock(s) they have been assigned to


How the tenant can use the lock

Unlock via the app

The tenant can tap the unlock icon in the app to unlock the lock using Bluetooth.

Create a PIN for visitors (remote PIN)

If the tenant needs to give temporary access to a visitor — such as a dog walker or plumber — they can generate a remote PIN:

  1. Tap Access in the app

  2. Tap Create Access

  3. Select Generate PIN Remotely

  4. Choose Duration PIN and set a start and end time

  5. Name the PIN (e.g., "Plumber")

  6. Share the PIN with the visitor via email or text

This PIN will only work during the specified time window and will expire automatically.

Create a personal PIN (custom PIN)

If the tenant wants a PIN they can use regularly instead of the app:

  1. Tap Access in the app

  2. Tap Create Access

  3. Select Custom PIN

  4. Choose Instant PIN (the tenant must be at the lock for this step)

  5. Enter a name and choose a PIN number

  6. Set the start and end dates (must fall within the access window set by the administrator)

  7. Tap Create while standing at the lock to push the PIN to the device

Once syncing is complete, the PIN will be functional on the lock.


Troubleshooting

The tenant doesn't see their lock in the app

  • Confirm the tenant has been added as a Lock User and the invitation was accepted

  • Confirm the tenant has been assigned to the correct lock with Bluetooth Access and Residential User permissions

The tenant's custom PIN dates are rejected

  • The tenant's PIN start and end dates cannot exceed the access window set by the administrator — extend the administrator-level access dates if needed

The custom PIN isn't working

  • The tenant must be physically at the lock when creating an instant/custom PIN

  • Confirm syncing completed successfully after the PIN was created


Best practices

  • Set the access end date to align with the tenant's lease term

  • Use the Lock User type so tenants cannot see or manage other locks on the account

  • Encourage tenants to create a custom PIN as a backup to Bluetooth app access
